Commercial Parasols and Cantilever Umbrellas for Restaurant, Hotel and Resort Terraces: Five Sourcing Routes for FF&E Contractors

Five sourcing routes for centre-pole parasols, cantilever umbrellas and large terrace umbrellas, and what to put in the schedule so quotations can be compared line by line.

On a restaurant, hotel or resort terrace, the parasol depends on decisions made outside the factory: how it is fixed, where it stands and who closes it when the weather turns. A schedule line that reads “umbrella, 3 m, beige, 20 no.” leaves all of those decisions to the maker, and every maker answers them differently.

This guide sorts the supply side into five sourcing routes so a project team can send one brief to the right makers and compare the answers fairly. It is not a ranking. No factory is named or scored here, and no claim is made about the wind resistance, fabric performance or service life of any product. The operator, the project’s engineer and the maker’s own instructions decide how a parasol is fixed and used. For the furniture under the canopy see our restaurant outdoor dining chairs and tables page, and for pool areas see our commercial sun loungers and daybeds page.

What should a parasol brief state?

A brief that names only a size and a colour produces quotations that cannot be compared. State at least the following, copied from the terrace plan and the item list.

  • Item code and quantity: one code per parasol type, with the quantity per terrace or per outlet.
  • Canopy: size and shape as drawn, and the number of canopies on one frame where a multi-canopy type is wanted.
  • Frame type: centre pole, cantilever or side post, wall-mounted, or a large-span umbrella, as the plan shows.
  • Frame material and finish: aluminium, timber or steel, with the finish and colour reference for each item code.
  • Canopy fabric: the fabric the specification names, its colour code, and any valance, vent or print.
  • Operation: pulley, crank or push-up opening, and any tilt or rotation the operator has asked for.
  • Base and fixing: freestanding base, base plates for ballast, in-ground sleeve, surface plate bolted to the deck, or through a table, as the project decides.
  • Accessories: covers, lights or other fittings, and who supplies electrical parts.
  • Branding: any logo or print on the valance, who supplies the artwork and who approves a proof.
  • Packing: how frames and canopies are protected and marked by terrace, and which parts ship separately.

Five sourcing routes for commercial parasols

1. Aluminium centre-pole parasol makers

These makers produce parasols with an aluminium pole and ribs, a pulley or crank, and a fabric canopy, in a range of sizes and shapes. Ask for the frame drawing with section descriptions, the rib and hub description, the canopy fabric description and a finished sample. This route suits restaurant terraces where parasols stand in table holes or bases between tables.

2. Cantilever and side-post umbrella makers

Cantilever makers build umbrellas with the post to one side, so the canopy covers a table or lounger without a pole in the middle. Ask for the frame drawing, the rotation and tilt mechanism description, the base or fixing the maker’s instructions call for and a finished sample. This route suits pool decks and lounge areas where a clear space under the canopy matters.

3. Timber-frame parasol workshops

Timber workshops build parasols with hardwood poles and ribs and a fabric canopy, sometimes to match timber furniture on the same terrace. Ask for the timber species and finish description, the hardware description, the canopy fabric description and a finished sample. Timber products may bring timber legality documents into the file, so ask what the maker can provide for the species offered.

4. Large-span umbrella fabricators

Some fabricators build large terrace umbrellas, single or multi-canopy, that are fixed into the ground or a structural base. Ask for the frame and fixing drawings, the description of the mechanism, the instructions for opening, closing and maintenance, and who is responsible for the foundation or fixing design on site. For items of this size, agree with the project’s engineer what the maker must provide before the order.

5. Outdoor furniture package suppliers

Some suppliers quote parasols with the tables, chairs and loungers for the whole terrace. This gives one party to coordinate and one delivery, but ask the supplier to quote each parasol type on its own line and to say which items it makes and which it buys in. See our outdoor furniture page for the wider range.

How to compare parasol quotations

  • What is included: frame, canopy, base or fixing, covers and accessories, shown as separate lines with the unit of measure stated.
  • Item match: each line tied to an item code, so a missing base or cover shows up before the order.
  • Frame and mechanism: pole, rib and hub description and the opening, tilt and rotation mechanism on every line, so a cheaper line is read against what it contains.
  • Fabric: the fabric named, its colour code and any print, stated on every line.
  • Base and fixing: which base or fixing is included, and what the maker’s instructions require for it.
  • Spare canopies: whether replacement canopies are quoted, and how they are matched to the frames.
  • Exclusions and substitutions: any change of frame, fabric, base or mechanism the maker proposes.

A quotation that is cheaper on one line may be thinner on another. Read the descriptions side by side before reading the totals.

Bases, fixings and the operating instructions

A parasol is only as stable as its fixing, and the fixing is decided on site, not in the factory. Write into the schedule how each parasol type is fixed: in a table, in a freestanding base, on a plate bolted to the deck or into a sleeve in the ground. Ask the maker to state in writing which base or fixing its instructions require for each model and size, and pass that to whoever designs the deck or the foundation. The operator decides when parasols are closed and stored; ask the maker for operating and maintenance instructions in the language the site team uses, and keep them with the order file.

Coastal and rooftop terraces add exposure to sun, salt and wind. Name the site conditions in the brief and ask each maker how the frame, the hardware and the fabric it offers are specified for them. For a hotel project that included outdoor umbrellas and terrace furniture specified in powder-coated aluminium with marine-grade stainless hardware for a coastal site, see the case study Hotel Mattresses, Wardrobes and Outdoor Furniture for a Florida Hotel.

Fabric, colour and branding across a group

When the same parasol goes onto several terraces or into several outlets, the canopy colour has to match from one order to the next. Ask the maker to state how the fabric colour is controlled between production runs, and keep an approved canopy sample or fabric swatch as the reference for repeat orders. Where the valance carries a logo or a name, agree who supplies the artwork, how the print is applied and who approves a proof before production.

  • Reference sample: the approved canopy or swatch and its item code, kept for repeat orders.
  • Colour code: the fabric maker’s colour reference written on the item list.
  • Spare canopies: quoted on their own lines and marked to the frame model they fit.

Rules and evidence

The rules that apply to parasols and umbrellas on commercial terraces depend on the destination, the building and the materials. Name the requirement in the specification and ask each factory what evidence it can provide for the exact model offered. Our United States, Canada and Australia and New Zealand compliance pages explain how we approach the main rules. Your specifier or certifier decides what applies to your project.

Samples, approval and delivery

Approve a finished sample of each parasol type, opened and closed, not a photograph, before bulk production, and record the approval in writing against the item code. Place it beside the other pieces of the room set so finish, height and edge are seen together. Keep the approved sample as the reference for the bulk order. Our guide to samples, finishes and approvals sets out the approval sequence.

On delivery, check a sample of cartons against the order: item code, size, finish, hardware and quantity of each part. Note any difference in writing on the day with photographs, so the maker can respond while the evidence is fresh. Before shipment our own team checks quantities, dimensions, finish, hardware and packing against the signed-off specification, and you receive a QC report with photos and video.

Frequently asked questions

What should a commercial parasol specification include?

Give the canopy size and shape, the frame type, the frame material and finish, the canopy fabric and colour code, the opening mechanism, the base or fixing the project has chosen, any accessories or branding, and the packing and marking by terrace.

Who decides how a parasol is fixed?

The project team decides, with whoever designs the deck or the foundation, using the maker’s instructions for the exact model and size. Put the decision in the schedule so that each quotation includes the right base or fixing.

Should parasols be bought with the terrace furniture?

They can be, which gives one party for the terrace. Keep each parasol type on its own line and ask who makes it, so the frame, the fabric and the fixing can be checked separately from the furniture.

How do we keep canopy colours consistent across outlets?

Approve a canopy sample or fabric swatch, write the fabric colour code on the item list and keep the sample as the reference for repeat orders and spare canopies.

How is FBM Furniture paid, and who inspects?

For suppliers you nominate, we charge a 5% commission; for products we source for you, we quote a direct price. Our own team performs one inspection after bulk production is complete and before shipment, and your team is welcome to attend.
