Hotel Guestroom Desks and Writing Desks for Guestroom and Suite Projects: Five Sourcing Routes for FF&E Contractors

Five sourcing routes for hotel guestroom desks, and what to put in the schedule so quotations can be compared line by line.

A hotel guestroom desk is the piece that business guests use for hours, so its details matter more than its size suggests: where the knees go, where the power comes in, how the cables leave the top and whether the surface takes a laptop, a cup and a bag in the same morning. A desk is also the item most often redrawn late in a project, because the power and data positions change after the room layout is fixed. For an FF&E contractor the question is which type of maker is right for the way the desk is built into the room.

This guide sorts the supply side into five sourcing routes so a project team can send one brief to the right makers and compare the answers fairly. It is not a ranking. No factory is named or scored here, and no claim is made about the strength, durability or electrical performance of any product. The brand standard, the designer and the local authority define those requirements, and each maker must show evidence for the exact model it offers. FBM Furniture works with companies only: Developers · General Contractors · Builders · Commercial Project Owners · Interior Design & Construction Companies · FF&E Solution Providers.

What should a guestroom desk brief state?

A brief that says only “desk, oak veneer, 150 rooms” produces quotations that cannot be compared. State at least the following, copied from the designer’s guestroom schedule and elevations.

  • Item code and room type: one code per desk type, with the quantity per room type, suite or phase.
  • Free-standing, wall-hung or built in: whether the desk stands on the floor, is fixed to the wall or forms part of a wall unit with the TV or luggage area, with the fixing detail drawn.
  • Dimensions and knee space: the overall size and the clear space under the top, as the designer draws them.
  • Top: top material, thickness, edge treatment and corner radius, and the surface the guest will write on.
  • Power and data: where sockets, USB points and data outlets sit, who supplies and wires them, and which electrical requirements apply in the destination.
  • Cable route: the grommets, slots or channels that take cables from the top to the wall, drawn on the elevation.
  • Drawers and storage: any drawer, shelf or pedestal, with runner type and handle detail.
  • Finish: the finish code and approved sample for the top, frame and edge.
  • Packing: how each unit is protected and marked by room type, and which parts ship separately.

Five sourcing routes for hotel guestroom desks

1. Guestroom casegoods workshops

These workshops build the desk with the bedside tables, wardrobe and dresser in one finish, which keeps colour, edge and handle detail the same across the room. Ask for shop drawings of the desk as its own line, a corner sample of the finish and the cable route drawn through the top. See our guide to hotel guestroom casegoods for how the room set is specified.

2. Timber and veneer table makers

Woodworking factories make desks in solid timber, veneer or board with a timber effect. Ask which timber or board is used, how the frame and top are joined and how the finish is applied, and request a finished corner and the edge detail. Settle the finish reference before bulk production, because veneer and stain vary from batch to batch.

3. Panel furniture factories

Panel-based factories make desks from engineered board with laminate, foil or melamine faces on automated lines. Ask for the board description, the edge banding method, the leg or frame construction and the cable opening detail, and request a finish sample. This route suits large room counts where the designer accepts a panel construction.

4. Metal frame and top fabricators

Desks with a metal frame and a separate top are made by metalworking workshops and top fabricators, often in different places. Ask who is responsible for the join between frame and top, how the top is fixed and how cables pass through it, and request a finished sample, not a drawing alone.

5. Full guestroom package suppliers

Some suppliers quote the whole room, from beds to soft goods. This gives one party to coordinate and one delivery, but ask the supplier to show capability for each product group and to quote the desk on its own line. For the supply side of the wider range see FBM Sourcing’s guide to hotel casegoods manufacturers.

How to compare desk quotations

  • What is included: top, frame or legs, drawers, cable parts, any electrical fitting and packing, shown in separate columns with the unit of measure stated.
  • Item match: each line tied to an item code on the schedule, so missing room types show up before the order.
  • Size and model: the exact dimensions quoted for each room type, compared with the drawing.
  • Cable route: whether grommets, slots and channels are included and drawn.
  • Power parts: who supplies sockets and USB points, and which evidence comes with them.
  • Finish reference: the finish code quoted, with the approved sample it refers to.
  • Exclusions and substitutions: any change of board, top material or hardware the maker proposes.

A quotation that is cheaper on one line may be thinner on another. Read the descriptions side by side before reading the totals.

Power, data and cables are part of the desk

The most common late change on a guestroom desk is the position of power and data. Decide before quotation whether the desk carries sockets or USB points, or whether they sit in the wall behind it. If the desk carries them, name who supplies and wires them and which electrical requirement of the destination applies to those parts, and ask the maker for evidence for the exact component. If the wall carries them, draw the cable route from the wall to the top, so that the desk has the slots and grommets the room needs.

Write the route on the elevation with the item code. A desk that arrives without the opening in the right place cannot be corrected on site without damaging the finish.

Samples, approval and acceptance on delivery

Approve a finished sample desk, not a photograph, before bulk production. Sit at it, check the knee space, the edge and the cable route, place it beside a sample chair so the heights are seen together, and record the approval in writing. Keep the approved sample as the reference for the bulk order. Our guide to samples, finishes and approvals sets out the approval sequence.

On delivery, check a sample of cartons against the order: room type, size, finish, hardware and quantity of each part. Note any difference in writing on the day with photographs. Before shipment our own team checks quantities, dimensions, finish, hardware and packing against the signed-off specification, and you receive a QC report with photos and video.

Name the rules in the specification

The rules that apply to guestroom furniture depend on the destination, the building and the materials. Name the requirement in the specification and ask each factory what evidence it can provide for the exact model offered. Our United States, Canada and Australia and New Zealand compliance pages explain how we approach the main rules. Your specifier or certifier decides what applies to your project.

If a desk carries sockets, USB points or a lamp, the electrical requirements of the destination apply to those parts, so write down which requirement applies and ask the maker for evidence for the exact component.

What evidence to ask each route for

  • Casegoods workshops: shop drawings on a separate line, a finish sample and the cable route drawn through the top.
  • Timber and veneer makers: a description of the timber or board, and a finished corner and edge.
  • Panel furniture factories: the board and edge-banding description and a finish sample.
  • Metal frame and top fabricators: who joins frame and top, how cables pass through it, and a finished sample.
  • Full package suppliers: a separate product sheet and sample for the desk, quoted apart from the package.

Specification gaps to close before quotation

  • Which drawing sets the desk size and knee space, and which wall and chair does it sit with?
  • Is the desk free-standing, wall-hung or built into a wall unit, and is the fixing drawn?
  • Where do power and data enter, and who supplies and wires the parts?
  • Which cable route is drawn through the top, and are grommets included?
  • Is the finish named by code, with a sample approved against the item code?
  • How are cartons marked by room type and floor?

FBM Furniture is the furniture-focused team of FBM Sourcing; our minimum order is a full container, and items from several factories can share one container. See also our pages on hotel guestroom furniture, office workstations and desks for desks outside the guestroom, and our case studies.

Frequently asked questions

Should the desk and desk chair be quoted together?

You can ask the same factory to quote both so the heights and finish match, but keep each item on its own line. Chairs come from different production lines, and a package price can hide a weak line.

Who decides where power and data enter the desk?

The designer and the electrical engineer decide it from the room layout. Put the positions on the elevation with the item code and ask each factory to confirm the cable route on its shop drawing.

Can the same desk be used in standard rooms and suites?

Often yes, with a different size or top. Give each room type its own item code so each factory quotes the sizes you need and missing types show up before the order.

Do we need a sample before ordering?

Yes. Approve a finished sample desk and keep it as the reference for the bulk order.

How does FBM Furniture charge for hotel casegoods?

For suppliers you nominate, we charge a 5% commission; for products we source for you, we quote a direct price. Our own team performs one inspection after bulk production is complete and before shipment, and your team is welcome to attend.
