Student Lounge and Common Room Furniture for Student Accommodation Projects: Five Sourcing Routes for FF&E Contractors
Five sourcing routes for student lounge and common room furniture, and what to put in the schedule so quotations can be compared line by line.
Student lounges and common rooms are the shared rooms of a student building: a ground-floor lounge, a floor kitchen with a table, a study room, a games corner. The furniture in them is used by far more people than a bedroom set, moved around by residents, and replaced on the operator’s schedule. For an FF&E contractor the question is not which factory makes the nicest sample, but which type of maker is right for a piece that is shared, dragged and sat on in ways the drawing did not show.
This guide sorts the supply side into five sourcing routes so a project team can send one brief to the right makers and compare the answers fairly. It is not a ranking. No factory is named or scored here, and no claim is made about the strength, durability or fire behaviour of any product. The operator, the designer and the local authority define those requirements, and each maker must show evidence for the exact model it offers. The bedroom side is covered in our pages on apartment and student accommodation furniture and student room furniture. FBM Furniture works with companies only: Developers · General Contractors · Builders · Commercial Project Owners · Interior Design & Construction Companies · FF&E Solution Providers.
What should a lounge and common room brief state?
A brief that says only “lounge sofas and tables, durable, 12 rooms” produces quotations that cannot be compared. State at least the following, copied from the operator’s standard and the room schedule.
- Item code and quantity: one code per piece, with the quantity per room type, floor or building.
- Room use: lounge, kitchen and dining, study, games or event room, because the same table is not specified for each.
- Seating type: modular sofa, single chair, bench, pouffe or bar stool, each with its drawing or the operator’s reference.
- Frame and base: frame material and section, legs or plinth, and how modules connect or are kept in position.
- Covering: covering material and how it is fixed, written for the model quoted, with the cleaning routine stated to the maker.
- Tables: top material, edge, base and fixing for coffee, side and dining tables, with the finish code.
- Handling: whether pieces are moved by residents or by staff, and what protection the feet and edges need.
- Finish codes: frame, top and covering colour, with approved samples against each item code.
- Packing: how modules and loose parts are protected and marked by room, and which parts ship separately.
Five sourcing routes for student lounge and common room furniture
1. Contract sofa and modular seating makers
Upholstery workshops that make contract sofas build modular and sectional seating to a drawing. Ask for the frame construction, the foam and covering description, the module connection detail and a finished sample, and approve how modules sit together. See our page on commercial sofas and upholstered lounge chairs.
2. Soft seating and lounge chair makers
Makers of lounge chairs, pouffes and benches supply the loose pieces of a common room. Ask for the model description, the covering and seam description and a finished sample, and confirm that pieces can be replaced from the same range. See our guide to ottomans, benches and pouffes for the same route in hotels.
3. Table and desk makers
Table makers supply coffee, dining and study tables in laminate, timber or composite tops on metal or timber bases. Ask for the top and edge description, the base and fixing detail and a corner sample. For the seating that sits around the tables see FBM Sourcing’s guide to breakout and lounge seating.
4. Metal and stacking furniture makers
Metal frame and stacking chair makers supply the study room and kitchen seating that is stacked or moved often. Ask for the frame section, the finish system and a sample that can be stacked and moved, and confirm replacement parts such as feet and glides.
5. Full student building package suppliers
Some suppliers quote the bedrooms and the shared rooms together. This gives one party to coordinate and one delivery, but ask the supplier to quote the shared-room pieces on their own lines, so that a weak item cannot hide in a package price. For the supply side of the wider range see FBM Sourcing’s guide to student accommodation furniture manufacturers.
Details that get missed in shared rooms
Shared rooms are drawn from the bedrooms outwards, so the details below are worth writing into the brief before the first quotation. They are prompts for your own specification, not findings from any one project.
- Cleaning access: floor clearance under sofas and tables for the cleaning equipment the operator uses.
- Spills and marks: the covering and top finishes that suit the cleaning routine, stated to the maker.
- Stability in use: how pieces are kept in position, and what the operator allows residents to move.
- Replacement: whether covers, feet and edges can be replaced individually, and who supplies them later.
- Matching the bedrooms: colours and finishes shared with the bedroom packages, so the two lots are approved together.

How to compare lounge furniture quotations
- What is included: frames, modules, covers, tops and bases, shown as separate lines with the unit of measure stated.
- Item match: each line tied to an item code on the schedule, so missing pieces show up before the order.
- Construction detail: frame, foam, covering and top described on every line, so a cheaper line is read against what it contains.
- Samples: whether finished samples are included and who pays for revisions.
- Spare parts: whether replacement covers, feet and edges are offered.
- Packing: how modules are protected and marked by room.
- Exclusions and substitutions: any change of covering, foam, top or frame the maker proposes.
A quotation that is cheaper on one line may be thinner on another. Read the descriptions side by side before reading the totals.
Samples, approval and acceptance on delivery
Approve a finished sample lounge module or table, not a photograph, before bulk production, and record the approval in writing against the item code. Place it beside the other pieces of the room set so finish, height and edge are seen together. Keep the approved sample as the reference for the bulk order. Our guide to samples, finishes and approvals sets out the approval sequence.
On delivery, check a sample of cartons against the order: item code, size, finish, hardware and quantity of each part. Note any difference in writing on the day with photographs, so the maker can respond while the evidence is fresh. Before shipment our own team checks quantities, dimensions, finish, hardware and packing against the signed-off specification, and you receive a QC report with photos and video.
Name the rules in the specification
The rules that apply to student accommodation furniture depend on the destination, the building and the materials. Name the requirement in the specification and ask each factory what evidence it can provide for the exact model offered. Our United States, Canada and Australia and New Zealand compliance pages explain how we approach the main rules. Your specifier or certifier decides what applies to your project.
Fire-safety requirements for upholstered furniture in residential buildings are set locally. Name them in the brief and ask each maker for the evidence for the exact model; we do not state them here.
What evidence to ask each route for
Evidence should be requested for the exact model, not for a product family. Ask for the following in writing and keep the answers with the quotation.
- Modular seating makers: frame construction, foam and covering description, module connection detail and a finished sample.
- Soft seating makers: model description, covering and seam description and a finished sample.
- Table makers: top and edge description, base and fixing detail and a corner sample.
- Metal and stacking makers: frame section, finish system and a stacking sample.
- Full package suppliers: separate product sheets and samples for the shared-room pieces, quoted apart from the package.
Specification gaps to close before quotation
A quotation cannot answer the questions below for itself. Check that the brief answers these questions before it goes out.
- Which rooms are the shared rooms, and which piece goes in which?
- Which covering and which cleaning routine are named, and who confirms they match?
- How are modules connected or kept in position?
- Are replacement parts part of the order or a later supply?
- Is the finish named by code, with a sample approved against the item code?
- How are cartons marked by room, and which parts ship separately?
Next steps for a student building
Send each maker the same brief: the room schedule, plans, item codes, finish codes and quantities. Ask for answers in writing, line by line, and request samples before bulk production. FBM Furniture is the furniture-focused team of FBM Sourcing, which manages the entire China procurement package for overseas construction projects; our minimum order is a full container, and items from several factories can share one container. See also our case on student accommodation FF&E for a Melbourne project and our case studies.
Frequently asked questions
Should shared-room furniture be quoted with the bedroom packages?
You can ask the same factory to quote both so finishes match, but keep each item on its own line with its own item code. A package price can hide a weak line.
Who decides the cleaning routine for the coverings?
The operator sets it. Give each maker the routine in the brief, and ask for a covering and seam description that answers it for the exact model.
Can modular sofas and tables come from different makers?
They can, but finishes and heights then have to be matched by your team. Give both makers the same colour and finish codes and approve samples side by side before bulk production.
Do we need spare covers and feet in the order?
Decide this in the brief. Ask each maker whether covers, feet and edges are offered as spare parts and how they are identified, and put the answer in the quotation.
How does FBM Furniture charge for student lounge furniture?
For suppliers you nominate, we charge a 5% commission; for products we source for you, we quote a direct price. Our own team performs one inspection after bulk production is complete and before shipment, and your team is welcome to attend.
