Reception tables, sofas and office furniture for Australian office projects
Reception tables and sofas, office chairs, desks and filing cabinets from several specialist factories in China — samples approved before production, each factory’s goods inspected when its production was finished, and 3 x 40HQ containers loaded for Australia.
One office furniture package, several specialist factories, 3 x 40HQ
FBM Sourcing sourced and shipped a mixed office furniture package for an Australian construction company that delivers office and commercial interior projects: reception tables and reception sofas, office chairs, desks, filing cabinets and supporting furniture for workplace environments. The products came from several specialist factories — some running reception sofa lines, some office chairs, some metal furniture, some wood office furniture — and each one was used only for what its line actually makes. Samples were approved before bulk production, each factory’s goods were inspected when its production was finished, and the goods were consolidated and loaded into 3 x 40HQ containers for Australia.
A contractor’s office furniture order is judged on repeatability as much as on the individual piece: similar reception furniture may be needed across different locations, and a matching table, sofa, chair or cabinet may have to be reordered months later. That is why the product list was split into categories before any factory was approached, why the approved samples and the confirmed material details were kept on record, and why the same factory is kept for the following orders so quality stays consistent.

What went into the containers
The list was split into product categories first, because each category is made by a different kind of factory and is checked against different details.
01
01 · Reception tables and sofas
- Reception sofas
- Reception tables
Materials and finish. Appearance, comfort, frame strength, fabric quality, foam density and packing protection were the details that decided which factory made them; in a reception area the furniture is part of the first impression for visitors but also takes frequent use, so it has to stay stable after transport and assembly.
Quantity. The record for this account does not break quantities down by line; the shipment covered here loaded 3 x 40HQ containers.
02
02 · Office chairs, desks and workplace furniture
- Office chairs
- Desks
- Supporting furniture for workplace environments
Materials and finish. Office chairs were specified for comfort, hardware reliability and consistent assembly; desks and tables for stable structures, suitable finishes and size accuracy. Some came from a factory running seating lines, others from a wood office furniture factory.
Quantity. Part of the same consolidated shipment; the record does not break quantities down by line.
03
03 · Filing cabinets and metal office furniture
- Filing cabinets
- Metal office furniture
Materials and finish. Accurate dimensions, smooth sliding parts and strong surface treatment are what a filing cabinet is judged on, and they come from a metal furniture factory rather than from the sofa or the wood furniture line.
Quantity. Part of the same consolidated shipment; the record does not break quantities down by line.
From a mixed product list to loaded containers
01
The list split into categories
Before any factory was approached we went through the product needs, drawings, photos, quality requirements, expected quantities and shipment plan, and divided the list into product categories. Each product has different risk points — a reception sofa is judged on frame and upholstery, a filing cabinet on dimensions and sliding parts — so each category could then be matched to factories with relevant experience instead of being placed by price.
02
A factory for each category
A factory that makes strong metal chairs is not the right choice for reception sofas, and a wood office furniture supplier may have good finishing but limited ability on metal parts. Factories were selected by product category and production capability: supplier experience, product specialisation, sample quality, production scale, export packing ability, communication speed and willingness to work to project standards. Because the client expected long-term cooperation, we also checked whether each factory could support repeat orders at stable specifications.
03
Samples and sign-off
The client provided drawings and sample requirements, and we coordinated sample development with the selected factories, followed up during sample production, checked the samples against the requirements and arranged sample shipment for approval. Where details needed adjusting, they went back to the factory before the bulk order. The approved sample then became the shared reference for bulk production and for the inspection.
04
Purchase contracts and production follow-up
Purchase contracts were signed with each factory, confirming product details, quantities, quality standards, delivery dates, packing requirements, payment terms and after-sales responsibility in writing. We followed production against the approved samples and the confirmed specification — finish, size, fabric, hardware, colour consistency, packing and quantity — and coordinated the factories onto one timeline so the goods would be ready to load together.
05
Inspection when production was finished
At each factory, when its production was finished, our team checked appearance, dimensions, structure, finish, hardware, accessories, quantity, carton marks and packing condition. On the reception sofas: visible workmanship, upholstery, stitching, frame stability, comfort and surface protection. On reception tables, desks, chairs and cabinets: size accuracy, hardware, surface finish, assembly condition and export packing. Packing was inspected as closely as the product — cartons, foam, wood frames, labels and accessory bags, and protection for corners, surfaces, legs, glass and hardware. Inspection records and photos went to the client, and anything found was repaired, replaced or repacked before the goods left the factory.
06
Consolidation, loading and records
After inspection and correction the goods were consolidated and loaded into 3 x 40HQ containers. Sofas, chairs, filing cabinets, desks, tables and carton-packed accessories each need different handling, so container condition was checked, the loading order supervised and the loaded goods recorded. Loading photos and shipment information went to the client before the containers left China, and the loading record connects each factory’s goods to the container they went into.
After the containers left China
FBM Sourcing stayed with the account after shipment, handling documentation, supplier communication and after-sales follow-up. We hold the factories to written after-sales terms for quality problems caused in production or packing, so where the client reports an issue after delivery our team checks the order record, takes it up with the factory concerned and arranges a practical remedy — rather than leaving the client to negotiate with a supplier in China from another continent.
Because office projects repeat, the supplier records, inspection reports, loading photos and confirmed specifications are kept for the following orders: the same reception tables, sofas, chairs, desks and storage can be reordered against the same approved references. Once a category has been bought from a factory, we keep that factory for the following orders so quality stays consistent, and any change is agreed with the client in advance. How we set this up around a contractor’s schedule and programme is on our page for FF&E contractors.
Questions about this project
What did this Australian office furniture order include?
Reception sofas and reception tables, office chairs, desks, filing cabinets and supporting furniture for workplace environments, sourced from several specialist factories in China and loaded into 3 x 40HQ containers for Australia.
Why were several factories used for one office furniture order?
Because different office furniture products need different production strengths. A factory that makes strong metal chairs is not the best choice for reception sofas; a sofa factory is not suitable for filing cabinets; a wood office furniture supplier may have good finishing but limited ability on metal parts. Factories were selected by product category and production capability, and each one was used only for what its line actually makes.
When were the goods inspected, and what was checked?
At each factory, when its production was finished and before the goods left the factory. The inspection covered appearance, dimensions, structure, finish, hardware, accessories, quantity, carton marks and packing condition; on the reception sofas, visible workmanship, upholstery, stitching, frame stability, comfort and surface protection; on tables, desks, chairs and cabinets, size accuracy, hardware, surface finish, assembly condition and export packing. Inspection records and photos went to the client, and anything found was repaired, replaced or repacked before the goods left the factory.
How was the furniture packed and loaded?
Packing was inspected as closely as the product — cartons, foam, wood frames, labels and accessory bags, and protection for corners, surfaces, legs, glass and hardware — because office desks, reception tables, sofas and cabinets are easily damaged in transit. The goods from the different factories were then consolidated and loaded into 3 x 40HQ containers, with container condition checked, loading order supervised and the loaded goods recorded.
Can FBM Furniture run the same process for our office project?
Yes. Send your FF&E schedule or product list, room by room, with quantities and drawings for any custom pieces, the specification or a reference photo for each item, your fabric and finish selections, and where the project is, so we check the standards your market requires. Many clients start with one category. We share examples of previous quotations to show the price range; further sourcing work requires an upfront sourcing fee, fully credited toward your first order.
Have an FF&E schedule to price?
Send the schedule and our team will price it line by line, against the standards your project has to meet.
