Hotel headboards and beds: what to specify for a guestroom package
Bed bases, frames and upholstered headboards come from different production lines. Fix the dimensions, construction and fixing detail once, and every source quotes the same thing.
What belongs on the bed and headboard schedule
In a guestroom package, the bed and headboard are separate lines from the casegoods around them and from the mattress. Keep each as its own item with its own drawing.
Bed bases and frames
State the base type (divan, platform, legs or storage), whether it is one piece or split for delivery, the top dimension it must carry, the height to the top of the mattress and whether two single bases link to form a king. For timber or composite-wood frames, state the core material and finish.
Upholstered headboards
State width, height, thickness, profile and upholstery: cover, foam, stitching or panelling detail. A headboard can be mounted on the wall or on the bed; that choice changes the bracket, the width relative to the bed and who installs it. If the headboard wall includes panelling, reading lights or sockets, show them on one coordinated drawing.
Mattresses
Mattresses usually come from mattress factories, not from the bed or headboard source. Specify the mattress dimensions and height together with the base, so the base, headboard, bed skirt and linen all fit.
What to put in the RFQ
The same fields go to every source, so price differences can be read against real specification differences.
Dimensions
- Bed size by room type, written in millimetres, not only by name.
- Base height, headboard height and the finished mattress height.
- Tolerances for base and headboard.
Construction
- Base frame and platform materials; composite-wood panels by type.
- Headboard frame, foam, cover and seam or panel detail.
- Wall-mounted or bed-mounted fixing, with the bracket drawing.
Approval and packing
- Fabric and finish samples, or COM details if you supply the fabric.
- Approved shop drawing and material list.
- Packing method, and carton coding by room type.
What your market asks for
Beds and headboards are usually made with timber or composite-wood frames, so the composite-wood and timber rules apply to the materials inside them. Mattresses sold in the United States have their own flammability standards.
| Product and market | Standard or rule | What it says |
|---|---|---|
| United States — composite wood | TSCA Title VI (40 CFR Part 770) | Hardwood plywood, MDF and particleboard, and component parts and finished goods containing them, must meet the emission standards and be labelled. Since 22 March 2019, importers of articles containing regulated composite wood products must also comply with the import certification regulations (19 CFR 12.118–12.127). |
| Canada — composite wood | Formaldehyde Emissions from Composite Wood Products Regulations (SOR/2021-148, as amended by SOR/2024-256) | A composite wood product that contains formaldehyde — including a component part or finished good — must not be imported, sold or offered for sale unless every panel in it meets the emission limits: 0.05 ppm for hardwood plywood, 0.09 ppm for particleboard, 0.11 ppm for MDF and 0.13 ppm for thin MDF. |
| United States — mattresses | 16 CFR Part 1632 and 16 CFR Part 1633 | Mattress flammability standards: Part 1632 covers mattresses and mattress pads (smouldering ignition), Part 1633 sets open-flame requirements that all mattress sets must meet before sale. |
| Australia — wooden furniture imports | Illegal Logging Prohibition Act 2012 (as amended from 3 March 2025) and Illegal Logging Prohibition Rules 2024 | Importers of regulated timber products must meet due diligence requirements. The Rules list wooden-frame seats (tariff items 9401.61 and 9401.69) and wooden furniture and parts (9403.30 to 9403.60 and 9403.91). |

From bed schedule to shipment
FBM Furniture is the furniture sourcing line of FBM Sourcing Limited. We are a sourcing agent and do not manufacture or sell a fixed range.
Quotation
Send the room-type schedule, quantities, drawings or reference photos and the destination. We source from the production lines that make each item: upholstery sources for headboards, frame and base sources for beds, and mattress factories for mattresses.
Approval
The factory prepares shop drawings and material lists, and you sign off drawings, fabric and finish before production. For large orders, samples are couriered for approval before production.
Quality control
When bulk production is finished and before shipment, our own team checks quantities, dimensions, finish, fabric and foam, hardware and packing against the signed-off specification, with photos and video. Your project team is welcome to attend.
Hotel beds and headboards: questions before a quote
What information is needed to quote hotel headboards?
Width, height, thickness and profile; cover, foam and seam or panel detail; wall-mounted or bed-mounted fixing; any lights or sockets on the headboard wall; quantities by room type and the destination.
Should the headboard be wall-mounted or bed-mounted?
It is a design decision. It changes the bracket, the headboard width relative to the bed and who installs it, so state it in the specification before quotation.
Are beds, headboards and mattresses made by the same factory?
Usually not. Upholstered headboards, bed bases and mattresses come from different production lines, and we use each one only for what its line makes.
Why specify bed sizes in millimetres?
Size names such as queen and king do not mean the same dimensions in every market. Millimetre dimensions keep the base, headboard, mattress and linen consistent.
Can we supply our own headboard fabric?
Yes. Tell us at quotation stage that the fabric is COM and send its specification, so the sample and bulk order use the same material.
Send the guestroom schedule
We will price beds and headboards item by item against one specification.
