What belongs on a commercial office chair schedule
Task, meeting, visitor and conference chairs may look similar in a catalogue, but their use, adjustment, base and test route differ. Keep each model as its own line.
Task chairs
State the mechanism and adjustments, arms, lumbar support if specified, seat and back construction, base, castors and intended floor. If the project names ANSI/BIFMA X5.1, request the report for that exact model and configuration.
Meeting and visitor chairs
State fixed or swivel base, arms, upholstery, stacking requirement and any tablet or linking feature. BIFMA says X5.1 can cover side and guest chairs, stacking chairs, tablet-arm chairs and stools, but the submitted report still has to identify the quoted model.
Large-occupant and public seating
Do not substitute a general-purpose report where the project calls for a large-occupant or public/lounging route. BIFMA lists X5.11 for large-occupant office chairs and X5.4 for public and lounge seating.
What to put in the RFQ
The same fields go to every source, so price differences can be read against real specification differences.
Construction
- Chair type and intended room.
- Mechanism, adjustment range and controls.
- Arm type, back construction and lumbar requirement.
- Seat, foam and cover; mesh, fabric or leather by reference.
- Base and castors selected for the floor.
Evidence
- Applicable standard and edition named by the project.
- Complete report for the exact model and construction.
- For upholstered chairs sold in the United States, the Part 1640 route and permanent label where applicable.
- For any composite-wood component, TSCA Title VI evidence where required.
Approval and packing
- Finish, fabric and mesh samples.
- Approved drawing and bill of materials.
- Assembly instructions, spare parts and carton coding by room or area.

Quotation
Send the office schedule, quantity, reference model or specification and destination. We source from the production line that makes the chair and compare the exact test evidence before we quote.
Approval
For large orders, samples are couriered for approval before production. Fabric, mesh, finish and the signed-off construction become the reference for the order.
Quality control
When bulk production is finished and before shipment, our own team checks quantities, dimensions, finish, fabric and foam, hardware and packing against the signed-off specification, with photos and video. Your project team is welcome to attend.

What information is needed to quote commercial office chairs?
Send the quantity, intended room, reference model or specification, mechanism and adjustments, cover and finish, base and castors, destination and the test standard named by the project.
Does one ANSI/BIFMA X5.1 report cover a whole chair range?
Not automatically. The report must be read for the exact model and construction. Ask how each variation is represented or grouped.
Are task chairs and lounge chairs tested to the same standard?
Not necessarily. BIFMA lists X5.1 for general-purpose office chairs and X5.4 for public and lounge seating, with other standards for large-occupant and educational seating.
Can we supply our own fabric?
Yes. Tell us that the fabric is COM and provide the reference and performance requirements so the sample and bulk order are approved against the same material.
What is the minimum order?
A full container. Product groups from the same project can share full containers, and we consolidate goods from several sources. We do not ship loose cargo.
